A Proof-of-Value Case Study on AI Adoption and Its Measurable Impact in Construction

While most firms are still debating AI’s role in construction or applying it in isolated ways, one of Canada’s fastest-growing mid-sized general contractors is taking meaningful action. Meaningful Results Starts by Defining a Meaningful “AI-Why”

Integrating AI into administrative tasks can expand capacity, improve effectiveness, and close documentation gaps critical for risk management. Even incremental improvements can drive significant benefits at a fraction of traditional mitigation costs.”

Through an initial opportunity mapping session with field operations and the technology provider, the team identified key stakeholder constraints and over 20 AI-enabled use cases. They selected three high-impact, easy-to-implement workflows for a four-week sprint to minimize disruption: 


  • Automated Meeting Minutes – AI-generated summaries to improve documentation and accelerate AI’s learning of critical project context 
  • AI-Powered Daily Logs – Voice-to-text and structured reporting for better field data capture. 
  • Cross-Platform Integration – Reducing data silos, providing key information to the right people at the right time. 


Unlike traditional Proof-of-Concept (PoC) trials, this PoV focused on practical application to determine if stakeholders found real value in AI-enabled workflows, measured in terms of time saved, documentation quality, and risk reduction.

  • Project Coordinators spent less time recording discussions and more time retrieving relevant project documents, improving meeting effectiveness. 
  • AI-assisted reporting enabled real-time data capture from field supervisors and trade craft, making logs more contextual and complete with no extra effort. 
  • The Chief Safety Officer saved over two hours per day by eliminating manual data collection. 
  • AI-integrated schedules, meetings, and reports improved project insights, allowing stakeholders to focus on high-priority tasks. 
  • AI adoption was immediate, with stakeholders recognizing its clear impact on their daily workflows. 

 

Business Impact and Process Considerations 


  • Increased staff capacity enables firms to allocate fewer resources across more projects, generating significant project savings and enabling growth with less cost. 
  • More contextual records enable improved change capture and dispute resolution, significantly affecting both top-line revenue and bottom-line costs. 
  • AI-assisted reporting empowers less experienced staff to perform at a higher level, reducing training time and overhead costs. 


Process Considerations for AI Adoption: 


  • Not all information requires documentation, but critical risks and client concerns must be consistently recorded. 
  • Time savings should be redirected toward high-value tasks such as supervision, coordination, and documentation. 
  • Stakeholders expect AI to integrate seamlessly into existing project platforms to avoid duplication. 


Conclusion 


This PoV demonstrated that AI can significantly save time, enhance project documentation, and mitigate risks for field operations teams. The general contractor saw immediate benefits, long-term multipliers, and co-development advantages that would not be possible through traditional technology procurement methods.
